CUTPL Board Minutes for September 2012

September 18th Board Meeting

CULVER UNION TOWNSHIP PUBLIC LIBRARY

Board Meeting September 18, 2012

Time: 7:00 pm – 8:15 pm

Place: Library Large Meeting Room

Members: Joan Bess, Joyce Greeson, Jim Hahn, Al Nyby, Melanie Robertson, Carol Saft, Peg Schuldt

Attendance: all present

Pledge of Allegiance:

Agenda approval: moved by Carol, seconded by Joan

Open public hearing: to present the 2013 CUTPL budget

motion to open the hearing by Joyce and seconded by Joan

budget approved by Marshall Co committee last month

no additions or corrections, motion to close the public hearing by Carol and seconded by Joan

the Board is scheduled to adopt at its 10-16-12 meeting

Report from the Antiquarian & Historical Society: none

Secretary Report: Melanie Robertson

corrections to the 8-21-12 minutes: time of meeting 7-8:15 pm; capital "B" on Bailey; motion to accept the secretary’s report made by Peg

motion to accept the corrections made by Joan and seconded by Carol

Treasurer’s Report: Al Nyby (power point)

a few unexpected claims but not too far off of budget

low interest rates contribute to lower receipts

Finance Committee Report: Al

committee met 9-17-12

further consideration of salaries, possible reduction of hours

new tax assessments should not affect the tax draw for CUTPL

health insurance could go up 15% or $3000.00

building insurance will be going up, since the re-evaluation, perhaps $1700+

the Director recommends payment of professional dues to the Indiana Library

Federation for the director and Children’s librarian;

a motion to pay $140.00 for these memberships made by Joyce, seconded by Melanie

the Director is suggesting UV light-filtering window shades be placed on the large east windows to shade the Circ desk in the early morning hours; estimates will be forth-coming

motion to accept the treasurer’s and finance committee reports was made by Melanie and seconded by Joan

additional policies for Internet use

CUTPL has switched to a free content filtration system that is working well

specific consequences for inappropriate behavior is highlighted in the existing policies

a provision to prevent the illegal use of the sharing of library cards to access the Internet will permit the lender’s card to be disabled, until the situation is corrected

a motion to accepted the revised internet and Wireless use policy was made by Carol and seconded by Al

a new wireless use policy was presented to the board

a motion to accept the policy as presented was made by Joan and seconded by Peg

Status assessment of CUTPL’s Long Range Plan will be presented at the October meeting for review

Director’s Report: Colleen McCarty

new hires, Julie Coale and Don Baker introduced; Rachel Meade has returned and is working in the children’s area

Evergreen 2.2 upgrade has been completed as of this past weekend; a general review of key features was presented

analysis of OverDrive vs other e book provider options; present cost is $1500 per year;

in August 2012 CUTPL had its first 100 circ/month numbers since we subscribed to OverDrive service in March 2011

recommended to continue with OverDrive for one more year at $1500, until we can offer our present users an alternative downloadable e-book and audiobook source

it was moved by Peg and seconded by Joan to meet on November 27, 2012 (4th Tuesday of month) for the regular board meeting, because the third Tuesday of November falls during Thanksgiving week

New Business:

a letter from Chuck Kitchell, CCES principal, regarding accommodations at the elementary school for reading disorders. The letter will be included in these minutes.

a brief discussion was held about child behavior here at CUTPL
