Regular Board Meeting June 24, 2014

expenses close to budget, income from property taxes with last year’s reassessments will

probably be close to projected amount

Policy Committee:

IN the Public Trust excerpt –C 1-7 “The Board Develops Policy” good policies inform everyone of Board’s intent, goals and aspirations; eliminates the need for crisis management; should be carefully designed, formally adopted and kept current by annual review; chapter discusses required and suggested policies; Bylaws are not the same as board policies; they are more permanent and can only be changed through the procedures presented

Collection Development Policy: summary read by Colleen from page 1, #2, special mention of the scope of collection, selection of materials, gift management, “Request for Reconsideration of Materials” form discussed; forms requesting reconsideration revised and simplified

patron requests: ordered when possible; expensive TV series are often requested by reciprocal borrowers, presenting a bit of a problem

Director’s Report: Colleen McCarty

Laura will be leaving in July and she is working closely with her replacement Dana Thomas to insure a smooth transition

stats for May 2014—visitors 5554 compared to May 2013 of 5556 circ – up 4387 in 2014 as compared to 4101 in 2013

books – increase in circ of 296, we are ordering and processing new releases more quickly audio books are now ordered by Laura and we are seeing an increase in circ

Summer Newsletter was out June, available in paper and online needed another treatment for carpenter bees from Arrow Pest Control , cost $30 had this done 2 years ago, pest control technician recommended covering wooden area with vinyl

Centennial committee met: dates for celebration will be from December 2014 to December 2015; actual birthday party scheduled for June 6, 2015

possible events: Dewey Dash 5K Run; open house celebration; timeline on the web page featuring archival documents and photos; story walk in the park; “Andrew Carnegie” speaker; essays from students; a memory book; a time capsule

Summer Reading ice cream kickoff was very well attended—135 attendees

129 children participating in SRP; 60 patrons enrolled in Adult Summer reading program, up from 51 last year

brief discussion of Culver Academy Facilities Manager Jeff Kutch and associates’ visit and recommendations for modifications to the sail overhang to limit snow/ice from falling on our patrons in the plaza

Thurs, June 26 at 2:00 pm - Webinar on software to monitor our facility systems

termite damage repair: possible expense may be $10,000 +

possible move of tech services into the Carnegie, but termite damage must be remedied first

plan to submit a grant application to Marshall Co Community Foundation for monies to install a projection system in the Carnegie meeting room and small meeting room

New Business:

the motion was made by Bill to redeem a CD that is taking more to maintain by the financial manager than interest earned, and redeposit it into the saving account; will continue to keep records of Fund separate. It was seconded by Tom.

Carol Minarik has moved out of state and resigned from the Library Board as of June 16, 2014, her replacement will be appointed by the Culver Town Council

a general discussion of proposed expanded TIF District (Tax Incremental Financing); possible monies may be available to CUTPL
