March 18 Board Meeting


Regular Board Meeting March 18, 2014

Time: 7:00 pm – 7:55 pm

Place: Library Large Meeting Room

Public comment: none

Secretary Report:

motion to accept the February 2014 minutes as presented was make by Karen and seconded by Carol


Treasurer’s Report: Al Nyby

motion to accept the February Register of Claims as presented was made by Carol and seconded by Karen


Finance Committee Report: Al

committee of Alfred, Tom, Bill, Colleen and Jim Faulkner met 3-11-14

a brief explanation of how our financial transactions are tracked to insure all are properly recorded and approved

it was noted that there may be a need to bring in maintenance people when Shaun Doty is unavailable or the job is too detailed

the need to refurbish the Carnegie Room

the outside awning above the patio may have to be removed due to a safety problem with falling ice and snow; presently the stairs have to be cordoned off when weather dictates CUTPL will be celebrating its 100th anniversary in 2015, a committee to oversee programs and events

in 2016 the library’s bond will be available for refinancing; member Bill Cleavenger has Municipal bond experience and will be available for recommendations; presently a payment of $200,000 made annually

Policy Committee:

In The Public Trust Sec. B pp.1-3 excerpts pertaining to the 5 Tasks of Library Board members was reviewed

emphasis on community visibility and the responsibility of members to know what goes on in the building and on the outside property

Long Range Plan Assessment – Karen

Four Basic Goals for one of our Areas of Strategic Opportunity--Visit a Comfortable Place

an updated Theft of Library Materials Policy was presented because of rare but recent incident

signage was suggested at our two exits as a reminder to check out items

Rhonda moved to accept and Karen seconded


Director’s Report: Colleen McCarty

the new Theft of Library Materials Policy will be presented at the staff meeting 3-27-14; safety first

for staff and patron and no physical restraint should ever be attempted

Koorsen Co has installed the new fire panel and smoke detectors; the Fire Marshall is late for an inspection but should be here soon

the 2014 spring issue of “The Maxinkuckee Reed” is out with a special insert detailing a national Pew survey of library patrons and services

rearrangements have been made near the circ desk to accommodate a Patron Reference desk. Laura

our reference librarian, now has her desk nearby for assistance, freeing up circ personnel from leaving the desk to do in-depth reference research

The Friends of the Library have freshened up the outside courtyard planters

Children’s department had a Dr. Seuss party, 3-1-14, with a Friends providing cookies and juice and holding a book sale which went well

The Friends continue to sort and shelve donated material in the Carnegie Room

Staff news:

Youth Services:

Head Start reading program on Mondays at CES, Wesley Preschool on Thursday

High School Book club has 23 students who are reading The Maze Runner,

The Friends provided 24 copies the students may keep

Computers are being shut down 10 minutes before closing and this has proven helpful in closing the library on time; no patron complaints

OverDrive streaming video available, mostly non-fiction, but Polly is adding fiction

Ian Pilarski and Greg Waksmulski have left and Mitchell Anderson has been hired for 10 hours per week for the computer lab

Laura and Jill attended The Public Library Association Conference, a 5 day national conference held in Indy

Tonya Evers is scheduled to speak to the staff on deferred compensation, CUTPL does not

contribute, START is an individual program offered to all staff

Indiana Trustee listserve information is available to library staff and Board members; see Colleen

Park Board: Rhonda Reinhold

hopefully there will be a permanent superintendent by summer, I am temporary superintendent

I have temporarily taken the pier assignment on

Bob Osborn is the new board member, 5 members are now seated

change of place, meeting now at the park, not the town hall; meetings are the second and fourth

Wednesday at 6:30 pm

New Business:

Evergreen: proposed annual membership fee based on operating expenses to start in 2016; Board needs to vote to amend EI bylaws to allow fee.
