CUTPL Board Minutes, March 21 2017

Treasurer's Report:

Review & Approval of the 2-21-17 Register of Claims will be presented at the March meeting to give Jim time for the reconciliation with the new accounting program

with the presentation of the Board minutes from this 3-21-17 meeting, new signers for the account will be made at First National Bank of Monterey and First Farmers Bank.

Facilities Committee: Colleen

priorities of projects to be covered by the new bond moneys of approximately $325,000

  1. computer replacements and/or upgrades for the public & staff computers, approximately $25,000-75,000
  2. HVAC system update and reprogram $25,000-45,000 humidity problem addressed $50,000
  3. windows and doors $15,000
  4. exterior painting $5,000 - 8,000
  5. parking lot resealed and lines painted $2,000
  6. courtyard repairs and remodel $30,000- 50,000, contact Jed Eide, who coordinated the Envelope Study, to draw up plans for courtyard upgrade, especially the ramp

CRC must be presented with 2 bids for the work prior to their deliberation about contributing to the cost of the project

  1. carpet replaced $50,000
  2. roof membrane coating $50,000-60,000
  3. various interior repairs and reconfigurations of space
  4. Children's computers
  5. installing complete kitchen

Policy Committee: Colleen and staff person Dana Thomas

Books on Tap proposed as a new program for CUTPL

adults, ages 21-40, evening meetings, rotating of sites in Culver

projected to be on the 4th Tuesday of the month, beginning on June 27th

Dana will be moderator and make arrangements

books will be gotten through Evergreen Indiana

several Indiana libraries have been successful with such a program

Culver Chamber of Commerce will be contacted for sites recommendations

FOL will be asked to pay for light refreshments (appetizers), excluding alcohol

motion to approve Books on Tap program made by Teri, seconded by Alfred


Ken Lukenbill, in reference to the CUTPL handbook on employment policies

contacted Waggoner, Irwin and Shields for expert opinion on revisions

expense will be approximately $9,000 to 10,000

moved to retain Waggoner, Irwin and Shields to update current employee hiring policies in the present handbook by Alfred, seconded by Bill


Director's Report: Colleen McCarty

In February we had 9 volunteer hours

38 participated in Winter Adult Reading Program, FOL provided prizes

the latest issue of Maxinkuckee Reed is now available

March is Women's History Month, we partnered with CMA for programming

movie was on Saturday the 18th

Summer Reading: Preparation now for Adults, Young Adults and Children's Programs

a staff farewell for Jill will be March 24 at 6:30 pm, staff will pay for their own meals and chip in for Jill's, Trustees invited

Esmie Rodgers will begin in the Children's area 4-5-17

FOL will be honoring the staff with a luncheon on Wednesday, April 12 from 11:30-12:30 as part of National Library Week

New hire Janet Winrotte will take over Esmie's duties; Janet was with the Kokomo library before moving to Plymouth

Coding Boot Camp here at CUTPL on April 7 and 8, 16 hours of training

CMA 10 slots, CCHS 10 slots, and CUTPL has 5 slots

Java Script will be taught; CMA received a grant to sponsor the session

New Business:

the office of treasurer is now open, as Alfred's term on the Board ends March 31

Bill moved to accept Paul Liette as treasurer for the Board, seconded by Teri


Alfred was sincerely thanked by all for his outstanding service to the Library

newer quotes needed for the Carnegie windows to be done
